Position Summary:
Provides administrative support to the Legal Services Department. Responsible for managing Department calendars as well as the coordination and planning of meetings.

Job Requirements:
• College diploma, legal secretary (or equivalent).
• 2 – 3 years of previous work experience in a similar role.
• Advanced computer proficiency in Microsoft Outlook and Word. Intermediate Excel, and PowerPoint skills.
• Ability to draft and prepare basic correspondence, and other documents for professional approval/signature using precedents.
• Proficient dictation skills.
• Excellent attention to detail and organizational skills.
• Ability to multi-task and prioritize workload in order to adapt to conflicting deadlines and constantly changing circumstances.
• Ability to work well under pressure.
• Professional telephone and communication skills.
• Experience working with online legal research tools considered an asset.
• Knowledge of French (written and verbal) is an asset.

Job Duties:
• Responsible for providing legal secretarial and administrative support to the members of the Legal Services Department, including confidential correspondence.
• Opening and closing legal files (electronic and paper) in accordance with established system. Performs all aspects of file administration.
• Drafts and prepares basic correspondence and other documents for professional approval/signature using precedents.
• Manage calendars (i.e. appointments, meetings and all matters pertaining to the schedules for Legal Department). Make necessary arrangements for internal and external meetings including room reservations, refreshments and audio/visual equipment.
• Tracks contract executions and renewals.
• Tracks litigation and tribunal milestones; assists with preparation of litigation/tribunal material using templates.
• Prepares and distributes various reports as necessary.
• Receive and screen communications to the Department including telephone calls and e-mail messages, and provide assistance to determine those requiring priority attention.
• Receive and distribute incoming mail; review and evaluate mail to identify those items requiring priority attention.
• Arrange travel and accommodations as required.
• Prepare presentation materials utilizing PowerPoint and other tools to create and design complex presentations.
• Process payment of invoices.
• Attend meetings as directed and take minutes.
