Job Requirements:

  •     Minimum of 2-3 years working at an intermediate administrative assistant level in a professional environment for senior professionals.
  •     Excellent organization skills; ability to take instruction accurately.
  •     Experience in managing budgets, WIP and billings
  •     Capability to prioritize workload, work effectively under pressure and time constraints in a fast-paced environment; Excellent written, verbal, interpersonal and communication skills and is able to work effectively in a team environment. Proven editing and proof-reading skills, with a focus on accuracy and attention to detail
  •     Ability to multi-task and is detail oriented. Must be comfortable working with large volumes of information in a fast-paced environment.
  •     Discretion, tact and diplomacy in dealing with individuals at all levels;
  •     Excellent judgment and problem solving skills including the ability and knowledge to understand the implications of proposed solutions;
  •     Exceptional interpersonal skills with the ability to work effectively in a team environment;
  •     Advanced MS Office skills in Word, Excel, PowerPoint and Outlook;
  •     Proven editing and proof-reading skills;
  •     Bilingualism an asset
  •     Post-secondary courses/degree would be considered an asset
  •     Flexible and accommodating of irregular hours on an infrequent basis.
  •     Demonstrated ability and confidence to work well independently

Job Duties:
As an Administrative Assistant you will provide direct administrative support to a variety of senior professionals, with duties and responsibilities including, but definitely not limited to;
  •      Administrative support to Partners in the Audit group
  •     Prepare and format multiple and complex reports, presentations and proposals in PowerPoint, word and excel.
  •     Assist in retention/onboarding initiatives ‑ day 1 orientation back-up host - First point of contact for all new audit hires prior to and on first day
  •     Create and distribute surveys to audit staff for mid-year and year-end performance discussions
  •     Prepare and send all communications to audit new hires regarding out of town training and development
  •     CRM Champion for NCR
  •     Prepare billing summaries
  •     Coordinate with learning coordinator in Toronto regarding all UFE writers ‑ track start/end dates
  •     Coordinate the National Audit Committee meeting for NCR
  •     Organize and coordinate internal and external meetings
  •     Prepare client invoices
  •     Coordinate travel arrangements
  •     Manage email and calendar the Ontario Operations Leader and Partners
  •      Back-up for other assistants/reception
  •     AS2 and EMS:  Run file checks, document refresh, end engagement, and archive of files
