Position Summary
The Office Administrator is responsible to provide administrative assistance to US Lawyers and Senior Immigration Administrators.  This role requires a high level of organization and awareness, excellent ability to multi-task and effective communication with co-workers and clients.

 Job Requirements
•           College or University degree an asset;
•           1 – 2 years of office administration required; and
•           Experience within an immigration law firm an asset.
•           Knowledge of immigration practices and procedures an asset;
•           Time management skills are critical;
•           Ability to demonstrate analytical and problem solving skills within a fast-paced environment;
•           Attention to detail and accuracy;
•           Ability to multi-task and meet aggressive deadlines;
•           Strong organizational and computer skills;
•           Excellent verbal and written communications skills;
•           Computer proficient in Microsoft Word and Excel;
•           Experience working in a Mac environment an asset;
•           Ability to locate and research information efficiently, to use it effectively and to evaluate the quality of information;
•           Ability to work with minimal supervision;
•           Self-directed and highly motivated;
•           Ability to communicate responsibly and promote effective working relationships; and
•           Knowledge of immigration practices and procedures and asset.
 
Job Duties:
•           Provide assistance in the client in-take process
•           Performing various administrative duties including, opening/closing files,  I-94 follow-ups, preparing Approval Notice cover letters, courier preparation, photocopying/faxing submission packages, completing general government application forms, inputting file transfer data into KPMG Law internal databases
•           Keep individual client status charts updated (where required)

Administration:
•           Open files upon receipt of initiation and enter new client immigration details into internal systems;
•           Close client files once immigration process has been completed and prepare for off-site storage;
•           Request files from off-site storage;
•           Conduct online and paper filing into client files;
•           Prepare and finalize approval notice packages and send out for delivery to client;
•           Follow-up with clients to obtain I-94/Visa copies to track expiration dates;
•           Distribute daily mail;
•           Prepare daily outgoing mail and courier packages; and
•           Organizing and maintaining internal file cabinets.

Client Care:
•           Follow-up on pending matters to ensure activities reach a timely conclusion;
•           Assist with a high-volume of immigration-related matters; and
•           Escalate issues to management as necessary.
